June Meeting Minutes


JUNE 1, 2008  MEETING MINUTES Of MIRACLES IN PROGRESS ALANON GROUP

Madam Chair opened the meeting with the Serenity Prayer.

Madam Chair then posted an outline of the evening's meeting agenda.

Madam Chair noted that the Sec. was absent and asked for a volunteer to take meeting minutes in the Sec's absence. A member volunteered to take them in Sec's absence.

A member motioned to accept the May Meeting Minutes without changes. Motion was seconded , put to a vote and passed.

Next Item on the agenda was the Treasurer's Report, and as Treasurer wasn't there to give a report, no report was made.

Next on agenda was the Saturday Evening Beginner's Meeting. A suggestion had been made to combine the 2 Sat. Evening Meetings into 1 Beginner's and Newcomer's Meeting.
A member suggested to leave both meetings on the schedule and hope to get a consistant OP or have a beginner's meeting anytime there were several new people in the room.
A member asked if there'd been regular newcomer's meetings currently?
The Chair of the later Sat. night meeting replied that there had not been one in several weeks.
Madam Chair suggested to table this item for another month. A member noted that it had been on several month's agenda's and asked to try having a vote tonite on it.
A member noted how hard a former OP had worked to get the beginner's meeting started including working out the scripts for it, and didn't want all the effort made to be nullified, but suggested that perhaps promotion of the newcomer's meeting would be the answer to getting more people involved. This member also questioned why it was a topic on the agenda, and asked if it had been a year since voting took place on this meeting.
A member answered that it came up because no one had been found who could chair it consistantly so it was suggested to combine it with the later regular Sat. meeting for which there was a chair and MIP could be assured of having a newcomer's meeting every week. After several members expressed that they thought it to be an important meeting to keep on the schedule, Madam Chair made a motion to combine the two meetings.
One other member suggested she would volunteer to OP it for 4 weeks and see if it would be well attended with promotion.
Madam Chair called for a vote, and the motion to combine passed.


Next on the agenda was OP coverage. Madam Chair stated she was asked to place this item on the agenda because a minority of OP's were chairing the  majority of meetings every week, due to lack of volunteers to be OP's.
A member suggested that two alt's be removed from the schedule because of lack of participation of the past several weeks. Madam Chair complied.
A member offered explanation of why this topic had been requested to be on agenda, that "the few" were chairing a majority of the many meetings but some weren't being covered. Another member agreed and stated that they were worried that the few who are serving so much would "burn out' and , then there would be even fewer OP's to serve. A couple more members who've been in MIP alanon for a long period stated that this had been an issue for several years now, but that someone was always willing to start a meeting and always seemed to get the meeting going and done, even if not a scheduled OP.
A member motioned to move on to the next topic as time was getting short. Another member seconded, and vote was taken , and motion passed.


Next item on agenda was about emailing minutes of meetings to members rather than posting them on the board.
A member stated that previous Sec's had emailed the minutes to whomever requested them at the end of the meeting.
Another member made a motion to vote on whether or not to post them on the board or email them.
A member agreed that emailing to members who'd requestd it was how they'd done it when they were secretary. Member also explained that OP_Present was supposed to tell present Secretary how to mass email to all members but hadn't contacted present Sec. on that yet.
A member made the motion to table this topic for further discussion next month with  more clarification and discussion.
Motion was seconded, voted on, and passed to be added to July's agenda.


Madam Chair closed the meeting with the Alanon Declaration.

Personally, I love having the minutes on the board.  It demonstrates that we are, in fact, trying to operate transparently.  I honestly cannot see any loss of anonymity - no names are used, even nicks are closely guarded.  I can't imagine a non-member reading through the whole thing, but if they did, they'd find a group of anonymous people trying to work together to resolve conflict.  I don't see that as a bad thing.
